B2B data basics
What is B2B data?
B2B data is information about companies and the professionals who work at them, such as names, job titles, work emails, phone numbers, industries, company sizes and locations. Sales and marketing teams use it to reach the right buyers. Its value depends on accuracy, relevance and how responsibly it is sourced and used.
What is a B2B contact database?
A B2B contact database is an organized collection of business contacts and company records that can be searched by role, industry, location and other filters. It might be a commercial data source or your own CRM. A good one is verified regularly, supports opt-outs and lets you build segments that match your ideal customer.
How do I build a targeted B2B contact list?
Start with your ideal customer: industry, size, region and the roles that buy from you. Add technology or growth signals where they help, then verify the contacts and remove duplicates and existing customers. Review a small sample by hand before using the full list. A smaller, relevant list almost always beats a large, generic one.
What is an ideal customer profile?
An ideal customer profile describes the type of company most likely to buy from you and succeed with your product. It normally includes industry, size, location, technology and buying triggers. Base it on your best existing customers rather than guesswork. It then guides your list building, messaging and how sellers prioritize their time.
What is firmographic data?
Firmographic data describes a company, much as demographics describe a person. It includes industry, employee count, revenue range, location and ownership type. Sales and marketing teams use these details to decide which accounts fit their offer and how to group them. It is often combined with technographic and intent information for sharper targeting.
What data fields should a good contact list include?
A useful list usually has name, job title, job function, seniority, company, industry, employee range, location, verified business email, direct phone where available, LinkedIn profile, and the date the record was last verified. Fields vary by segment. Knowing the last-verified date is especially useful, since contact information changes constantly.
Is it better to buy a list or build one yourself?
Building your own gives you control but takes time, and large-scale research is expensive. Buying from a reputable provider is quicker, but quality varies widely. Many teams do both, using verified data to fill gaps in their CRM. Whichever you choose, check sources, request a sample and follow the applicable contact rules.
How much does B2B data cost?
Pricing depends on the segment, the number of records, the fields you need and how specific your criteria are. Healthcare specialties or hard-to-find roles can cost more than broad lists. Rather than comparing price per record alone, compare accuracy, deliverability and how many records actually fit your target. We provide a quote based on your exact criteria.
How do I judge the quality of a data provider?
Ask where the data comes from, how and how often it is verified, what deliverability standard is offered, and how individuals can opt out. Request a sample built to your criteria and test it yourself. Be wary of unrealistic guarantees or sellers who cannot explain their sources, because you remain responsible for how you use it.

Reaching decision-makers
How do I reach decision-makers at large companies?
Map the buying group first: the budget owner, the person with the problem, technical evaluators and procurement. Use verified contact details, then send a short, specific message tied to something real at that company. Combining email, LinkedIn and phone usually works better than relying on one channel, and an introduction from someone they know is even better.
How do I find the right contact at a company?
Start with the job function that owns the problem, then check company websites, LinkedIn and verified data sources. Titles vary, so search by function and seniority rather than an exact title. If you are unsure, a polite note asking who handles the topic often works. Check your CRM first in case someone already has a relationship.
How do I find fast-growing companies to sell to?
Look for rising hiring and headcount, recent funding, new offices, new senior leaders and technology changes. Published lists such as the Inc. 5000 and Deloitte Technology Fast 500 are useful starting points, but many growing firms never appear on them. Combine several signals, filter by your ideal customer and check that the information is recent.
What is the best way to contact a CEO or senior executive?
Keep it brief, specific and relevant to their business priorities. A short note referring to a real company event is far better than a long pitch. A warm introduction is often the strongest route. At larger companies, it may be more effective to begin with the leader closest to the problem.
How can I find a work email address ethically?
Use public business sources such as the company website, professional profiles and reputable data providers, and verify the address before sending. Avoid leaked data, personal accounts and pretending to be someone else. Have a relevant business reason for contacting the person, be open about who you are and respect any request to stop.
How many contacts should we target per account?
Two or three is a sensible minimum in mid-size companies, and more in larger ones where groups make decisions. This protects you if one person leaves or does not respond. Coordinate your approach, so that several people at the same company do not get the same generic message at the same time.
Is cold email legal?
It depends on the country. In the US, CAN-SPAM permits commercial email if you follow rules on honest headers and subject lines, a physical address and a working opt-out. The EU, UK and Canada have stricter requirements, and consent may be needed. Ask your legal adviser which rules apply to your specific outreach.
7 questions
Healthcare data
How can I reach physicians by specialty?
Use a verified healthcare database that lets you filter by specialty, role, location and care setting. Then send short, clinically relevant messages that respect their time. Reviewing the list against NPI and license information helps confirm accuracy. NPLUS HealthIQ covers more than 200 physician specialties across all US states and territories.
What is an NPI number, and why does it matter for healthcare lists?
A National Provider Identifier is a unique ID for US healthcare providers. It helps confirm a provider's identity and specialty, and it helps remove duplicates when one doctor appears at several locations. The public NPPES registry can help with verification, although some records may lag behind real changes in practice location.
Who makes purchasing decisions in a hospital?
Usually several people. Clinicians may request a product, a value analysis committee reviews evidence and cost, supply chain negotiates, IT and security examine connected technology, and finance approves the budget. In large health systems, these decisions may be centralized. Map the organization properly, rather than relying on one contact in one department.
How do pharma and medical device companies use healthcare data?
They use it to find relevant specialists, plan field sales territories, invite clinicians to education and reach hospital decision-makers. Messages and claims usually require medical, legal and regulatory review before use, and there may be rules on payments to providers. Verified, specialty-specific data helps ensure that outreach reaches people for whom it is actually relevant.
Does HIPAA stop us from emailing doctors?
HIPAA protects patient health information, rather than a provider's business contact details. Commercial email rules such as CAN-SPAM still apply, as may other marketing and privacy rules. Never include patient details in a sales list or suggest you know about specific patients. Your legal adviser can confirm what applies to your company's outreach.
Can I get lists of nurses, hospital executives and practice managers?
Yes. Healthcare outreach often needs more than physicians, including nurse practitioners, nursing leaders, hospital executives, practice managers and allied health professionals. The right segment depends on who decides or influences the purchase. Tell us your target role, setting and region, and we can build a sample for you to review before committing.
How often does healthcare contact data change?
Regularly, because providers change practices, affiliations and roles, while organizations merge or restructure. This is why data should be verified before each major use and refreshed on a schedule. Old affiliation data is a common cause of wrong messages and bounces, particularly in markets where health systems are consolidating.
6 questions
Technology and IT buyer data
What is technographic data?
Technographic data shows which software, hardware and cloud platforms a company uses. Sellers use it to find competitors' customers, companies using a platform they integrate with, and recent adopters who may need support. It is usually inferred from public signals and job posts, so treat it as strong evidence and confirm details in conversation.
How do I find companies that use a specific software product?
Use a technographic data source that lets you filter by technology, then narrow the results by industry, size and region. Cross-check important accounts using job posts or company websites. Remember that a tool may only be used by one team, and that detection dates matter, as companies can change software over time.
How do I reach CIOs, CISOs and IT managers?
Target the person responsible for the tool or problem, and keep your message technical but brief. Smaller companies may only have an IT director, while larger ones have separate security and infrastructure leaders. Refer to a real situation, such as a new compliance requirement. Tech IQ provides more than 1.8 million IT and security decision-makers.
What is an install base list?
An install base list shows the companies that use a particular product or technology. Vendors and service providers use it for competitive campaigns, integration partnerships, migrations and support offers. Its accuracy depends on how the data is gathered and how recently it was checked, so ask about both before relying on one.
What is intent data?
Intent data suggests that a company is researching a topic, based on signals such as content consumption across websites. It can help you decide which accounts to prioritize, but it does not prove that someone is ready to buy. It works best alongside firmographic fit, technology data and your own CRM activity.
How can cybersecurity vendors find their best prospects?
Look for companies in regulated sectors, those that have recently hired security staff, firms mentioning compliance goals in job posts, and those using technology your product supports. Reach the CISO, security lead or IT director depending on size. Timing signals such as a new audit requirement or leadership change can make outreach more relevant.

Channel partner data
What is a channel partner?
A channel partner is a company that helps sell, deliver or support another company's products. Examples include resellers, distributors, managed service providers, system integrators and independent software vendors. Vendors use partners to reach customers and markets they could not easily reach alone. Each type earns money differently, which should shape your approach.
What is the difference between a VAR, MSP and MSSP?
A VAR resells products and adds services around them. An MSP manages IT for clients, usually on recurring contracts. An MSSP focuses specifically on managed security services. Some companies do all three. Knowing the difference helps you explain how a partner would make money with your product, which is what most partners care about first.
How do I find MSPs and resellers for my product?
Filter by partner type, vendor lines carried, specialty, size and region using partner data, and check vendor partner directories and company websites. Look for partners who already serve the customers you want. Channel IQ covers nine partner types across four global regions, and lets you target by vendor line and tier.
Who should I contact at a channel partner?
At a small MSP or reseller, the owner or CEO usually decides, often with a technical lead. Mid-size firms may have a VP of Sales, Head of Partnerships or Practice Lead. Large distributors and integrators often have vendor alliance managers. Reaching the right person is easier when your data separates those roles clearly.
How do I recruit good channel partners?
Be clear about the role you want them to play, then choose partners with a suitable customer base and capacity. Explain the margin or recurring revenue, how you protect deals, and how quickly they can close a first deal. After signing, agree on a simple joint plan, because many signed partners never produce a deal otherwise.

Data quality and email deliverability
Why does B2B data go out of date so quickly?
People change jobs, roles and contact details, and companies merge, rebrand or change domains. Each of these changes can make a record wrong, sometimes without any obvious sign. That is why data quality needs regular attention. Verifying before use and refreshing on a schedule is far better than doing a major cleanup every few years.
How do I clean my CRM data?
Begin by measuring invalid emails, missing fields, duplicates and old titles. Back up your data, then verify emails, merge duplicates carefully and standardize fields such as job function, industry and country. Fill important gaps with enrichment. Finally, add validation rules and name an owner, so that the data does not slowly decline again.
What is data enrichment?
Data enrichment adds missing information to records you already hold, such as job titles, phone numbers, company size or industry. It makes routing, segmentation and personalization more reliable. Record where each enriched detail came from and when, and protect information your own team has confirmed directly, so that good data is not overwritten.
Why are my emails going to spam?
Common causes include missing authentication, a poor sender reputation, invalid addresses, too much sending from a new domain, and messages people do not want. Check SPF, DKIM and DMARC, clean your list, send to relevant people and watch complaint rates. Many corporate security filters are also strict, so testing with small groups helps.
What are SPF, DKIM and DMARC?
They are email authentication standards. SPF lists which servers may send for your domain, DKIM adds a signature showing the message was authorized, and DMARC tells receiving servers how to handle failures and sends you reports. Correct setup helps mailbox providers trust your email. Major providers now require authentication from bulk senders.
What is a good email bounce rate?
Lower is better, and any sudden rise deserves investigation. High bounces suggest old or unverified data and can damage your sender reputation. Verify lists before sending, remove hard bounces immediately and treat catch-all addresses with care. Your email platform may have its own limits, so check its guidance for specific thresholds.
What does 90 to 95 percent deliverability mean?
It generally describes the share of emails that are accepted by recipients' mail servers rather than bouncing. It does not mean that the same share reach the main inbox or get read. Actual inbox placement also depends on your domain reputation, authentication, content and recipient engagement, so monitor replies and complaints as well.
How do we warm up a new email domain?
Set up authentication, then start with small daily volumes sent to your most relevant, recently verified contacts. Increase gradually over several weeks as long as bounces and complaints stay low. Keep content simple and encourage real replies. If results worsen, stop increasing volume and find the cause before continuing with more segments.
5 questions
Compliance and privacy
Is it legal to buy email lists?
Buying business contact data is not automatically illegal, but how it was collected and how you use it are regulated. Rules differ greatly by country, and you remain responsible for your own outreach. Use reputable providers, keep suppression lists, honor opt-outs and ask your legal adviser to confirm what applies to your target regions.
Does GDPR apply to B2B marketing?
Yes, when you process data about identifiable people in the EU, including a named work email. You need a lawful basis, must give people information about how their data is used and must respect their rights. Separate rules can apply to electronic marketing, and they differ by country. Ask your legal adviser about your plans.
What does CAN-SPAM require?
For commercial email in the US, CAN-SPAM requires accurate sender information, honest subject lines, identification of the message as an advertisement where applicable, a valid physical postal address and a clear way to opt out. Opt-out requests must be honored within 10 business days. Do it faster where you can. It applies to B2B email as well.
What rules apply to marketing outreach in India?
India's Digital Personal Data Protection Act, 2023, covers digital personal data, and telecom rules from TRAI govern commercial calls and SMS, including registered sender and do-not-disturb requirements. Details and timelines may change. Keep good records, respect preferences, and ask your legal adviser to confirm the current requirements before starting outreach campaigns in India.
What is a suppression list?
A suppression list contains people and companies you must not contact, such as those who have opted out or complained. Check every list against it before use, and keep it connected across your email, CRM and sales tools. Losing it during a migration or import is a common and easily avoidable compliance mistake.
5 questions
Marketing technology and programs
What is MarTech?
MarTech, or marketing technology, refers to the software and data that marketing teams use, including CRM systems, automation platforms, analytics, data tools and advertising technology. A good stack helps teams reach the right people and measure results. Too many unconnected tools, however, can create waste, poor data and confusing reports.
Which CRM is best for a growing B2B company?
It depends on your sales process, budget, integrations and internal skills. HubSpot and Salesforce are common choices, and others can suit specific needs. Choose based on how your team actually works, then plan your data migration and adoption carefully. A well-used simpler system is more valuable than an advanced one nobody updates.
What is account-based marketing?
Account-based marketing focuses sales and marketing on a defined list of high-value companies, reaching the whole buying group with relevant messages. It suits long sales cycles and larger deals. It depends on clean account data, buying group contacts and good coordination, and results should be measured by account rather than by individual lead.
How do we get more value from trade shows?
Decide which accounts and roles you want to meet, and book meetings before the event. Capture real context for each conversation, clean the data and follow up within days. Measure cost per qualified meeting and pipeline over time. Be cautious of unsolicited offers to sell attendee lists, as they often have no connection to the organizer.
How do we prove that marketing generates revenue?
Use consistent tracking across your website, CRM and marketing tools, and agree with sales on definitions and stages. Then connect activity to meetings, pipeline and revenue. No attribution model is perfect, so use it to guide decisions rather than as absolute truth, and compare it with what buyers themselves tell you.
