Step 1: Start with the right data
Target by specialty, sub-specialty, role, facility type and geography. A smaller list of verified, relevant contacts will outperform a large generic list and protect your domain reputation. Request a sample and check accuracy before committing.
Step 2: Protect deliverability
Authenticate your domain
Configure SPF, DKIM and DMARC so mailbox providers can verify your emails.
Use a dedicated sending domain
Keep outreach separate from your primary corporate domain.
Warm up gradually
Increase sending volume slowly over several weeks.
Monitor bounces and complaints
Remove hard bounces immediately and keep complaint rates very low.
Step 3: Write for clinicians
Lead with clinical or operational value, not product features.
Keep messages short, specific and easy to read on a phone.
Reference the specialty and setting you're writing to.
Offer something useful: data, a guide, an event invitation or a short consultation.
Step 4: Stay compliant
Follow CAN-SPAM requirements: accurate sender information, a clear subject line, a physical mailing address and a working unsubscribe that is honored promptly. Avoid sending protected health information by email, and check any additional rules that apply to your organization and audience.
